• Process event registrations, ticket purchases, coupons, invoices, and payments.
• Deliver transactional emails (confirmations, receipts, ticket/QR details, invoice notices).

When you use Cognisor AI tools (including chat, content generation, code assistance, document analysis, and similar features), your prompts and uploaded materials may be processed by Cognisor and/or third-party AI model providers to generate outputs and operate the feature you requested.

• Do not include confidential third-party data, secrets, or personal data of others unless you have a lawful basis and authority to do so.
• AI outputs may be inaccurate or incomplete; you are responsible for reviewing them before use.
• We may log usage metadata (timestamps, feature used, error states) to maintain reliability and prevent abuse.
• Provider-specific processing may apply when models are hosted by third parties; those providers process data under their terms and our contractual arrangements.

For events, workshops, hackathons, and paid services, we process registration and payment-related information to fulfill your order, issue tickets or invoices, prevent fraud, and provide customer support.

• Card and wallet payments are handled by processors such as Stripe and/or PayPal. Their privacy policies govern data they process as independent controllers or processors.
• We may store transaction references, amounts, currency, status, and customer details needed for records and fulfillment — not full payment card PANs.
• Event organizers/staff may access attendee lists and check-in information as needed to run the event.

We do not sell your personal information. We may share information with:

• Service providers / processors who help us host infrastructure, authentication, email delivery, analytics, AI model inference, payments, and customer support — under confidentiality and data-protection obligations.
• Professional advisors (legal, accounting) when needed.
• Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.

Cognisor is based in Japan. Your information may be transferred to and processed in countries other than your country of residence, including where our service providers operate (which may include the United States, EEA, and other regions). Where required, we use appropriate safeguards such as contractual protections and other mechanisms recognized under applicable law.

We retain personal information only as long as necessary for the purposes described in this Policy, unless a longer period is required or permitted by law. Typical retention considerations include:

• Account data: while your account is active and for a reasonable period afterward.
• Transaction, invoice, and tax records: as required by accounting and legal obligations.
• Event registration records: for event operations, follow-up, and dispute resolution.
• Support and correspondence: for a period needed to resolve issues and improve service.
• AI prompts/logs: for operational, security, and abuse-prevention needs, then deletion or aggregation where practicable.
• Marketing lists: until you unsubscribe or we decide the list is no longer needed.

When retention ends, we delete, anonymize, or securely archive information in accordance with our practices and legal requirements.

We implement technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These may include access controls, encryption in transit, least-privilege practices, and monitoring.
