Choose the workflow before the tool
List a repeated task, its trigger, the information it uses, and the person responsible for the result. Estimate the time currently spent handling it. This gives you a way to evaluate a tool without assuming every workflow needs AI.
A short evaluation checklist
- Integration: Can it read and write the required fields in the systems you use?
- Reliability: Can you see failed runs, retry safely, and avoid duplicate records?
- Control: Can you restrict access and review consequential actions?
- Maintenance: Who fixes the workflow when a form or business rule changes?
- Cost: What happens to the bill as records, users, or AI usage increase?
- Exit: Can you export records and document the workflow for another team?
Run a small pilot
Use a limited set of non-sensitive examples to check normal operation and failure cases. Compare the time spent reviewing outputs with the time saved. Expand when someone is responsible for maintaining the process and the benefit is clear.
